What does mail management involve?
Mail management is the service by which your domiciliation center receives, processes and forwards the mail addressed to your company's registered office. It's the key benefit of domiciliation: a truly « staffed » professional address where your mail is handled even when you're away.
- Daily mail reception and sorting
- Scanning and delivery by email / online portal
- Notification on each new item
- Postal forwarding or pickup on site
Reception, scanning and forwarding: how it works
When an item arrives, the center logs it and notifies you. Depending on your plan it scans the envelope (and contents, with your authorisation) and sends it online, keeps it for pickup, or forwards it to the address of your choice, in Belgium or abroad. You control your preferences (frequency, scanning, forwarding) from your portal or with the center.
Official mail and legal obligations
The registered office is where the administration, tax authorities, courts and CBE write to you. A missed official letter (registered mail, formal notice, tax notification) can have serious consequences. Proper mail management ensures reception, traceability and prompt forwarding of these items, including registered mail according to the center's terms.
Choosing a center with mail management
Not all centers offer the same service level. Compare processing frequency, scanning (included or optional), handling of registered mail, forwarding times and fees. Pick a center whose mail management matches your pace of business.
